Insight Path Privacy Policy
Brock Innovative Solutions, LLC (“BIS,” “we,” “us,” or “our”) provides Insight Path, a software platform designed to support instructional coaching, professional learning, educational leadership, and related school and district improvement activities. This Privacy Policy explains how information is collected, used, stored, disclosed, protected, retained, and deleted when authorized users access or use Insight Path, our related websites, and connected services.
1. Who Insight Path Is For
Insight Path is designed primarily for authorized education professionals and administrative personnel, including academic and instructional coaches, teachers and school employees, coach supervisors, school and district administrators, district leadership, and other individuals authorized by a participating educational organization. Insight Path is not designed as a direct-to-student consumer service.
2. Information We Collect
Depending on configuration, Insight Path may collect or process account and profile information such as name, work email address, organization, school assignment, job title or role, account identifier, user permissions, settings, and authentication information. We do not store a user's Google account password.
Authorized users may also enter instructional coaching and professional information, including coaching interactions, classroom visit records, coaching cycles, goals, follow-up activities, PLC support, one-time support activities, teacher or staff names, school assignments, coaching notes, supervisor notes, dates, statuses, assigned coaches or supervisors, professional-development information, progress indicators, and related information.
Where enabled, authorized users may upload files, documents, or other materials. Users and participating organizations are responsible for determining whether information is appropriate and authorized for upload.
We may automatically collect limited technical information necessary to operate and secure the Service, such as browser and device type, IP address, login timestamps, application activity, error logs, security logs, audit records, feature usage, and session information.
3. Student Information
Insight Path is primarily designed to manage instructional coaching and professional support rather than individual student records. Users should not enter student Social Security numbers, medical information, disciplinary records, special-education records, detailed student educational records, or other sensitive student information unless the participating school or district has specifically determined that such use is authorized and appropriate.
Where information maintained in Insight Path constitutes an education record or personally identifiable information from an education record under FERPA, BIS will process that information only as authorized by the applicable educational organization, applicable agreement, and applicable law.
4. How We Use Information
We may use information to authenticate users, provide authorized access, assign roles and permissions, operate instructional coaching workflows, maintain coaching records, display dashboards and analytics, track goals and follow-ups, manage coaching cycles, support professional-development activities, generate authorized reports, provide administrative and supervisory functions, send service-related notifications, provide technical support, maintain security, investigate errors or misuse, maintain audit logs, improve reliability and user-facing functionality, configure the Service, and comply with applicable legal obligations.
We do not sell personal information processed through Insight Path and do not use it for targeted advertising.
5. Google Sign-In and Google API Data
Insight Path may allow users to authenticate using Google Sign-In or other Google Workspace functionality. When a user signs in using Google, Insight Path may receive information authorized by the user or the user's Google Workspace organization, such as name, email address, Google account identifier, and basic profile information. This information is used to authenticate the user, associate the user with the appropriate Insight Path account and organization, and determine authorized access.
Where enabled and authorized, Insight Path may integrate with Google Workspace services. For example, a user may choose to connect a coaching follow-up or reminder with Google Calendar. Insight Path requests only the Google permissions reasonably necessary to provide the applicable user-facing feature.
Google Workspace API data is not used to develop, improve, or train generalized or non-personalized artificial-intelligence or machine-learning models. We do not sell Google user data or use it for targeted advertising, credit decisions, data brokerage, or unrelated purposes. Insight Path's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including applicable Limited Use requirements.
6. Google Permissions and Revocation
Users may control certain Google permissions through their Google account and may revoke Insight Path's access where applicable. Revoking a permission may prevent certain Insight Path features from functioning but does not necessarily delete information previously stored pursuant to an authorized use.
7. How Information Is Shared
Information may be accessible to authorized administrators, supervisors, coaches, or other users within a participating organization according to assigned permissions. BIS may also use service providers for cloud hosting, databases, authentication, monitoring, email delivery, security, file storage, and related infrastructure. Those providers may process information only as needed to perform services for BIS and subject to appropriate obligations. We may disclose information when required by law or reasonably necessary to protect the Service, users, participating organizations, or others.
8. School and District Control
Participating organizations generally control which users may access their environment, user roles and permissions, school and supervisor assignments, information entered by authorized personnel, organizational configuration, access to records, account deactivation or removal requests, and applicable data-retention requirements. Where a separate agreement exists, data handling will also be governed by that agreement.
9. Data Ownership
Use of Insight Path does not transfer ownership of a participating organization's underlying organizational data to BIS. BIS retains ownership of Insight Path, including its software, application design, technology, interfaces, systems, documentation, trademarks, and other intellectual property, except where a separate written agreement expressly provides otherwise.
10. Data Retention
We retain personal information only for as long as reasonably necessary to provide Insight Path, maintain applicable accounts, fulfill contractual obligations, maintain appropriate business and security records, resolve disputes, enforce agreements, and meet legal requirements. When information is no longer reasonably required, it will be deleted, de-identified, or securely destroyed in accordance with applicable procedures, contractual obligations, and law. Residual information may remain temporarily in controlled backups until those backups are overwritten or expire through normal processes.
11. Data Deletion Requests
Authorized users may request deletion of certain personal information by contacting their organization's Insight Path administrator or BIS. Participating organizations may request deletion or return of organizational data in accordance with their agreement with BIS. Requests may be subject to identity verification, organizational authorization, contractual requirements, legal retention requirements, backup limitations, and security considerations.
Privacy and deletion requests may be sent to contact.us@bisinnovates.com.
12. Information Security
BIS uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, loss, or misuse. Depending on the deployment, these measures may include authentication controls, role-based permissions, access restrictions, encryption in transit, cloud security controls, logging and monitoring, secure secrets management, database access controls, application authorization, audit logging, and backup procedures. No information system can be guaranteed to be completely secure.
13. Cookies and Local Storage
Insight Path may use cookies, browser storage, or similar technologies necessary for authentication, maintaining sessions, remembering application settings, security, application functionality, and troubleshooting. Insight Path does not use these technologies to create advertising profiles.
14. Analytics
Insight Path may generate dashboards, statistics, reports, and aggregated information based on activity within the platform. Where reasonably possible, BIS may use aggregated or de-identified information for product analytics and improvement.
15. Free Pilot Data, Artificial Intelligence, and Model Development
BIS may use certain data generated through free, beta, evaluation, or pilot versions of Insight Path to develop, test, evaluate, improve, or train internal analytical, artificial-intelligence, or machine-learning systems intended to improve Insight Path and related BIS products.
This may include application workflows, coaching activity patterns, feature usage, interaction patterns, reporting structures, aggregated performance metrics, feedback, and other information generated through participation in a free pilot program. Where reasonably practicable, information used for these purposes will be aggregated, de-identified, pseudonymized, or otherwise processed to reduce the ability to identify individual users, teachers, schools, students, or participating organizations.
BIS will not intentionally publish, sell, disclose, or make publicly available identifiable confidential information from a participating free pilot organization as part of model-development or training activities. BIS will not use directly identifiable student education records, student medical information, Social Security numbers, passwords, financial-account information, or similarly sensitive information for generalized model training unless expressly authorized through a separate written agreement and permitted by applicable law.
Participation in a paid subscription or separately negotiated district agreement does not automatically authorize BIS to use that organization's confidential data to train generalized AI or machine-learning models. Any such use will be governed by the applicable written agreement.
Google Workspace API data is excluded from this pilot-data authorization and will not be used to train generalized or non-personalized AI or machine-learning models.
16. Free Pilot and Evaluation Programs
Organizations participating in a free, beta, demonstration, evaluation, or pilot version of Insight Path acknowledge that the pilot may also be used to help BIS evaluate and improve the Service. Unless a separate written pilot agreement states otherwise, information and activity generated through a free pilot may be used for product testing, feature development, usability analysis, statistical analysis, internal research, development of aggregated benchmarks, development or evaluation of internal analytical systems, model training as described above, and improvement of Insight Path and related BIS products.
Where BIS publishes research, benchmarks, case studies, or product insights based on pilot activity, information will be aggregated, de-identified, or separately approved by the applicable organization before identifiable organizational information is disclosed.
17. Children
Insight Path is designed for use by authorized education professionals and is not directed to children as a consumer service. Students should not independently create Insight Path accounts unless a future version expressly supports such access and appropriate organizational authorization and privacy protections have been implemented.
18. FERPA and Educational Records
Where BIS receives FERPA-protected information from a participating educational organization pursuant to an applicable agreement, BIS will use that information only for authorized educational purposes and in accordance with applicable contractual and legal requirements. Participating educational organizations remain responsible for determining whether information constitutes an education record, whether disclosure to BIS is permitted, which users have legitimate educational interests, applicable record-retention requirements, and appropriate access permissions.
19. State and Local Privacy Requirements
Schools and districts may be subject to additional state or local privacy requirements. Where a separate district agreement, data privacy agreement, or other written contract imposes additional requirements on BIS, that agreement will govern the handling of the organization's covered information to the extent of any conflict.
20. Third-Party Services
Insight Path may contain integrations with or links to services operated by third parties, including Google services. Third-party services maintain their own privacy practices. This Privacy Policy applies to BIS's processing of information and does not replace the policies of third-party providers.
21. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes to Insight Path, new functionality, changes in data practices, changes in applicable law or regulation, security or operational developments, or new third-party integrations. The “Last Updated” date above identifies the most recent revision.
